Policy: The University's committee chairs or designee record minutes as an official record of actions taken during their meetings.  Minutes serve as a written historical record and evidence of discussions and decision-making. Approved minutes are stored on the USU Governance Meeting Minutes folder in the Google Drive owned by The Office of the Provost. 

Committees Required to Submit Minutes:

President's Council

University Council

Faculty Senate

College Curriculum Committee

Assessment Committee

Program Review Committee

Diversity, Equity, and Inclusion Committee

Purpose: The purpose of this policy is to ensure there is consistency in official recording of topics and actions items taken place, serve a historical purpose, and have a legal purpose, document a committees/group's adherence to procedures and/or bylaws. 

Procedure: 

  1. Meeting minutes are recorded by the committee chair or designee using the USU template or other another format, if more appropriate. 
  2. Minutes are reviewed and approved at the beginning of each meeting for the meeting prior.
  3. Approved minutes are uploaded in the the shared "USU Governance Meeting Minutes" Google Drive 

Scope: This policy shall apply to all University committees within the University's shared governance that are listed above.
