Policy: The University's committee chairs or designee record minutes as an official record of actions taken during their meetings. Minutes serve as a written historical record and evidence of discussions and decision-making. Approved minutes are stored on the USU Governance Meeting Minutes folder in the Google Drive owned by The Office of the Provost.
Committees Required to Submit Minutes:
President's Council
University Council
Faculty Senate
College Curriculum Committee
Assessment Committee
Program Review Committee
Diversity, Equity, and Inclusion Committee
Purpose: The purpose of this policy is to ensure there is consistency in official recording of topics and actions items taken place, serve a historical purpose, and have a legal purpose, document a committees/group's adherence to procedures and/or bylaws.
Procedure:
- Meeting minutes are recorded by the committee chair or designee using the USU template or other another format, if more appropriate.
- Minutes are reviewed and approved at the beginning of each meeting for the meeting prior.
- Approved minutes are uploaded in the the shared "USU Governance Meeting Minutes" Google Drive
Scope: This policy shall apply to all University committees within the University's shared governance that are listed above.
